This Privacy Policy explains how Calven AI, LLC ("Calven", "we", "us") collects, uses, and protects personal data when you visit the calven.ai website (the "Website") or use the Calven service at app.calven.ai (the "Service"). Questions and requests go to legal@calven.ai.

1. Data we collect

  • Account data. Name, email address, and workspace membership, collected when you sign up for the Service.
  • Customer content. Files, documents, transcripts, CRM records, personas, messaging documents, and chat conversations your workspace submits to or creates in the Service.
  • Integration data. Data exchanged with third-party services your workspace chooses to connect, plus the credentials needed to maintain the connection.
  • Website signup data. If you request early access on the Website, we collect your email address, company domain, campaign parameters, and coarse device information. Your IP address is used transiently to derive an approximate location and is not stored.
  • Usage data. Product usage events and technical logs that help us operate and improve the Service.

2. How and why we use data

We use data to provide and operate the Service, process your content with AI models on your instruction, communicate with you about your account and early access, secure our systems, and improve the product. We process personal data as necessary to perform our contract with you, based on our legitimate interests in operating, securing, and improving the Service, or with your consent where required. We do not sell personal data and we do not use your data for third-party advertising.

3. AI processing

The Service analyzes customer content using third-party large language models. Content is sent to these models only to perform the work your workspace requests. Your content is not used to train foundation AI models.

4. Sharing

We share data with service providers that support the Service and the Website, such as cloud infrastructure and AI hosting, authentication, email delivery, analytics, customer relationship management, and web data collection providers. They may process data only to provide their services to us. We also exchange data with third-party services your workspace connects, at your direction, and we may disclose data where required by law.

5. Data location and transfers

Customer content is stored in the European Union. Calven is a US company and some of our service providers process data in the United States. Where personal data is transferred internationally, we rely on appropriate safeguards such as standard contractual clauses.

6. Retention

We keep account data and customer content while your account is active. When you delete content or your account, it is removed from our systems and backups within approximately 30 days. Website signup data is kept until you ask us to remove it.

7. Security

We protect personal data with appropriate technical and organizational measures, including encryption in transit and at rest.

8. Cookies

The Website uses no tracking cookies; our analytics run in memory only and store nothing on your device. The Service uses only cookies that are strictly necessary for authentication and session management.

9. Your rights

Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal data, and to object to or restrict certain processing. To exercise these rights, email legal@calven.ai. If you are in the European Economic Area or the UK, you may also lodge a complaint with your supervisory authority.

10. Changes to this policy

We may update this policy from time to time. If a change is material, we will notify you by email or in the Service before it takes effect. The date above shows when this policy was last updated.
